Privacy Policy

Last Updated: October 7, 2025

1. Introduction & Scope

This Privacy Policy explains how Agentic Engineering Institute (“AEI,” “we,” “our,” “us”) collects, uses, shares, and protects information in connection with www.agenticengineeringinstitute.com and any subdomains, courses, communities, checkouts, and digital products we provide via AEI-approved services (the “Services”). By using the Services, you agree to this Policy and our Terms of Use.

Role Allocation: For AEI’s members, learners, and site visitors, AEI is the “controller” of personal data. Platform and infrastructure providers (e.g., Podia), payment processors (e.g., Stripe/PayPal), email vendors, analytics, and hosting partners act as processors or sub-processors on AEI’s behalf.

2. What This Policy Covers

This Policy covers Personal Data we process (any info that identifies or can identify a person). It does not cover third-party sites, services, or apps we don’t control. Review those parties’ policies separately. We are not responsible for their practices.

3. Sources of Personal Data

  • Directly from you: account sign-up, checkout, forms, email/support, community posts, event registrations.

  • Automatically: IP address, device/browser data, pages viewed, session duration, referrers, clickstream, cookies, log files, and similar tech.

  • From third parties: Podia, payment processors (transaction confirmations), analytics, email tools, advertising/retargeting partners (engagement and campaign metrics), login/social integrations (if you choose to connect).

4. Categories of Data We Collect

  • Basic identifiers: name, email, organization, role/title, country/region.

  • Transaction data: purchased items, subscription status, invoice amounts, timestamps.

  • Community/content: posts, comments, messages, and any info you voluntarily share.

  • Technical/usage: IP, device IDs, browser/OS, cookie IDs, pages visited, time on page, links clicked, conversion data.

  • Payment: processed by Stripe/PayPal via Podia; AEI does not store full card numbers.

If you submit information about others, you represent you have the authority to do so. We disclaim responsibility for third-party data you upload.

5. How We Use Personal Data

We process data to operate and improve AEI and fulfill our contractual and legal obligations, including to:

  • Create/manage accounts, memberships, course access, and community participation (contract).

  • Process orders, payments, renewals, and receipts (contract).

  • Provide support, communicate service notices, security alerts (legitimate interests/contract).

  • Personalize content, measure performance, and improve Services (legitimate interests).

  • Send marketing communications with your consent (you may withdraw at any time).

  • Detect, prevent, and respond to fraud, abuse, security threats, and legal demands (legitimate interests/legal obligations).

We do not sell personal data.

6. Cookies, Analytics & Tracking

We use cookies, pixels, web beacons, and similar technologies for login/session continuity, preferences, analytics, performance, and (where used) retargeting/interest-based advertising.

  • Types: Essential, Functional, Performance/Analytics, and (optionally) Retargeting/Advertising cookies.

  • Control: You can manage cookies in your browser. Some features may not work if disabled.

  • Do Not Track: The Services do not respond to DNT signals.

  • Interest-based ads: Where used, third-party partners may infer interests from on-site and cross-site activity. You can opt out of many providers via NAI or DAA portals (EU: EDAA). (Opt-outs are cookie-based and device/browser-specific.)

7. Sharing & Disclosure

We share data only as needed for the purposes above, including with:

  • Podia (hosting, authentication, community, course delivery),

  • Stripe/PayPal (payments),

  • Email/CRM, analytics, marketing, security, and hosting providers,

  • Instructors/event partners (when you enroll in specific programs),

  • Authorities (to comply with law or enforce terms), and

  • Successors (mergers, acquisitions, bankruptcy) — subject to continuing protections.

We are not responsible for third-party policies or practices; review them directly.

8. Data Retention

We retain personal data only as long as necessary to provide Services, meet legal/financial obligations, enforce agreements, and protect AEI’s rights. We may retain aggregated or de-identified information indefinitely.

9. Security

We apply industry-standard measures (TLS/HTTPS, access controls, monitoring). No method is 100% secure; AEI disclaims liability for incidents beyond its reasonable control. You are responsible for safeguarding account credentials and logging out after use.

10. International Data Transfers

AEI operates in the United States and may process data globally. By using the Services, you consent to transfers outside your jurisdiction. Where required, we rely on Standard Contractual Clauses or equivalent safeguards.

11. Your Rights (Region-Specific; Subject to Limits)

Your rights depend on where you live and are subject to verification, exceptions, and AEI’s legal/contractual obligations. AEI may decline requests that are excessive, repetitive, unfounded, or technically infeasible, and may charge a reasonable fee where permitted.

EU/UK/EEA (GDPR)

Subject to law, you may request access, rectification, erasure, restriction, portability, or objection to certain processing; and you may withdraw consent for marketing. AEI’s primary bases are contract and legitimate interests; where consent applies, you may withdraw without affecting prior processing. You may lodge a complaint with your local supervisory authority.

California (CCPA/CPRA)

AEI does not “sell” personal information as defined by CCPA. If we ever “share” for cross-context behavioral advertising, we will provide required notices and an opt-out mechanism. Subject to exceptions, California residents may request to know, correct, or delete certain information. We will not discriminate for exercising rights.

How to Exercise Rights: Email contact@agenticengineeringinstitute.com. We will verify your identity and respond within applicable timeframes, subject to permitted extensions.

12. Communications & Marketing

By providing your email, you consent to transactional messages (e.g., receipts, service notices) and, where permitted, marketing messages. You can unsubscribe from marketing via the link in any email. Essential service emails will continue (billing, policy, security).

13. Community & User Content

Information you post in AEI’s community or course areas may be visible to other members. Do not share confidential or sensitive info. AEI may moderate or remove content that violates our terms, but is not responsible for how others use information you disclose.

14. Children’s Data

AEI does not knowingly collect data from individuals under 16. Do not use the Services if you are under 16. If you believe a minor provided data, contact us to request deletion.

15. Third-Party Links & Logins

Our Services may link to or integrate with third parties (e.g., LinkedIn, YouTube, Google, Stripe, Podia). Your use of those services is governed by their policies. AEI disclaims responsibility for third-party practices.

16. Limitation of Liability

To the maximum extent permitted by law, AEI and its affiliates, officers, directors, employees, contractors, and agents disclaim liability for indirect, incidental, special, consequential, or punitive damages, or for any loss of data, revenue, or profits, arising from or related to this Policy or the Services. Nothing herein limits liability that cannot be excluded by law.

17. Changes to This Policy

We may update this Policy at any time. Updates will be posted here with a new “Last Updated” date. Continued use of the Services after changes constitutes acceptance.
